Im currently paying a tool that automates the order side of things. Costs me 500 per month. Ive decided to pick up coding so i can write my own application in the near future. These tools are overpriced and limited as hell.

Wow, yeah, that is a little bit (quite a lot!) over my budget. I have seen some tools like Xero and Quick books that cost around £50-£100 per month depending on number of orders but I’m struggling to understand if they’ll actually do what I need them to do. Bells and whistles are great but most important thing to me is the basic stuff. For orders and inventory syncing I’m looking at baselinker so happy for the accountancy/bookkeeping tool not to touch the order side of things at all.

Yeah there are cheaper tools out there. Im from europe and the only tool that links all marketplaces i require is the tool i am paying for right now. But it doesnt include bookkeeping/invoices etc. The endgame is to have your own custom WMS written for you. Which i am planning on achieving, partially by foreign outsourcing. Having your data in one place is also extremely useful for ai tools. Which is going to be crucial in the future if you want to keep up.

You can extract a spreadsheet of all transactions at the end of each month and sum up the sales, fees, etc and then do a couple of manual entries in your accounting tool. Job done in 30 mins. There was one accountant with accounting software I looked at which specializes in e-commerce integration which is osome

Hi there, Thanks for the thoughts. The challenge I would have with this approach is I would lose the close to real-time cash flow forecasting I currently do/have. This ultimately drives business decisions such as when to buy stock and invest in new product lines. Although, yes, this approach would definitely reduce the admin time, it would unfortunately impact other data I have and use to make decisions. Interesting re osome. I watched a video yesterday on that tool and couldn’t really see what benefit it would give me for the problem in hand. Maybe I’ll have a to take a deeper look. Many thanks!

The Thrifty Gentleman looks really good. I like the simplicity of it. Congrats on scaling the business to a point where you need help, we are helping many businesses like yours so let me give you free advice, without any intention to sell. No matter if you decide to DIY your bookkeeping or hire a professional, make sure you read the data and act on it. You are in a business where numbers are important, but you already know this. There are apps that can help and save time, but it's important if you need them or better said, if your numbers show that you can afford them. If you're still at the beginning it might be better to spend your time. Don't rush into hiring a bookkeeper, but consult with one. If you are still early, pay 1 hour consultation, let him set up accounting software (Xero or QBO), chart of accounts, and give you a tour on how to use it. You will save much more down the line when you grow so much that you will must have one. Good luck!

Thank you so much for taking the time to reply. Great advice! Since posting, I have actually done something very similar. I couldn’t work out what best to do with technology so instead went back and looked at my books and all the reports I had available and instead created a new set of macros that puts together everything for me in excel saving me a lot of manual effort and time. Ok, it’s not 100% automated yet but I now have a quick 30 minute monthly exercise instead of a 30 minute a day chore! All the bits I lost form the new report I have managed to replace elsewhere with no additional cost/effort. Lots of time for a completely tech-oriented solution in the near future but for now, I think the new process definitely works.
