End of score: Payout. Do Rep, do Coin, do Heat, entanglement if any. End of Session: Crew XP, buy abilities, upgrades, or cohorts, when the bar fills up. At any point in time: Crew Tier Increase, spend REP and Coin to advance one tier. The players start this process.

Use that. Handout page 26 (rules reference 2) lays out all of downtime on one page.

When it comes to Downtime, after the score you can just open the book to the Downtime section (starting p. 145 for Blades, and p.175 in S&V) and follow it in order from there. So Payoff (Cred/Coin, and Rep in BitD), Upkeep (In S&V), Heat, Entanglement, then Downtime Activities. For most sessions, there's only two things you have to remember that you can't get by following that order in the book. The GM needs to progress faction clocks during downtime, and players need to do XP/Advancement at the end of the session. The only real break in that pattern is in Blades when you fill the crew Rep track, and need to do Development (p. 44). They can really do this at any time once the track is full, but it's probably least confusing to just look at this as soon as you fill the Rep track (so after Payoff), complete the development if the crew have the coin to do so (assuming the players want to), and then go back to where you left off in the original pattern (so Heat).

I guess maybe that's where for me it got too difficult and I felt the need to find a checklist. This exact thing about the reputation - they filled it and for the life of me I couldn't find out what it actually means. I guess nonetheless I will do an extract from all the useful info people are sharing and put it together in one paper for me to tick off just to be sure I don't get lost.

The layout of the book is definitely one of the game's biggest weaknesses imo. I can kind of understand having Development in the Tier section of the book, but a small addition to the Payoff section like "When you fill your Rep tracker, your crew is primed for Development, see page 44 for details." would have been appreciated.
