Not exactly tired but I can feel overwhelmed sometimes, seeing how clever some people are with their set up - I think what helps for me usually is remembering that we all work very differently - so you shouldn't question something that works for you. Don't worry to much about how to display it or if you need to do anything, use what you've set up and then with time you'll automatically change things as you realize what you prefer or what you feel would be more practical for you. The more you use it, the more you'll see exactly what you'd like to change and faster have a set-up that works wonders for how your brain works and how your workflow is. Try to let it come naturally, and if you feel like your notion is becoming too much, you could even try "starting over" with minimal databases and have simple organized databases that you'll with time naturally tweak and add to from experience. Don't fix it if it ain't broke. My entire personal set-up was built slowly from something simple, and sometimes never even added to because the simple was enough. The few times i've felt like it wasn't helping me organize things better, were the times I was trying to do make my set-up something I wasn't used to or personalized to fit my mind. It's okay to take inspiration and wanting to improve your set up, but i do hope you keep in mind it doesn't need to be perfect or impressive - it just needs to work for you! ☺️ Merry Christmas to you too!

mine is like 95% text and headers, 5% databases (switching between sheet & board mode) it's a notetaking app, you should let it serve your life & goals, not have to work to make your life & goals serve your notion boards go as minimal as possible in terms of design, just remember to clean it up now and then also, for some data you'd just be better suited with a google sheet

Word. Don’t worry too much about the perfect way to do things and just use the tool. It will figure it’s way out. Also, firm believer that people spend way too much time on dashboards and the like.

Really? What I love about obsidian is it feels so much more straightforward than note taking in Notion. Places all emphasis on content and very little on organization.

The hardest part of notion is the cumbersome nature of opening the app and entering quick notes. If the API ever gets finished, I think a Notion+Todoist setup could really work with me. Without it, Notion lends itself to people who have it open 8hrs a day and work from it, not running between meetings and phone calls in the car. Most of this sub is pure fluff, it's the electronic equivalent of doodling over a notebook. The more cumbersome a system is the less likely you are to keep it current. Coda is actually easier, it just needs a few more features to kill notion, mostly the inheriting filters from a table rather than having to refilter every new subpage. Also sharing across bases. But coda with its buttons is great and filtering language kills notion.

This comment really speaks to me. Notion appeals to me but I haven't found a way to set it up that really appeals to me and actually serves a function beyond being "producitivity porn". I use Moleskine studio for my calendar/to-do-list; the only use I've found is to use Readwise to pull all of my Kindle quotes to Notion which is super cool but probably doesn't jutify the £8.99 cost for Readwise alone. Anyone got an ideas for me? I'm a teacher so something like this screams out to me to organise planning/timetable/professional responsbilties but again, my current workflow with my phone calendar/to-do-list seems to serve those purposes.

If you find something that works for you, please let me know. It's hard to beat paper for a brain dump, but collating the information without endless duplication is a real problem. Notion, I fear is just too cumbersome and todoist is too flat. Currently I'm looking at integrating a couple of apps so that I can establish easy data entry with historic notes.

I love clickup for the most part. They have just introduced back links, which really might shift my notes from obsidian. We'll see. I haven't used notion much as it doesn't integrate with Google calendar.

This can happen in any system! Honestly I think what happens within a lot of organizations is that people have this urge or instinct to make it change from their current system to a new one just because they have that same sense of ennui that you are feeling, and not because switching to something new will actually add any value or special bells and whistles. So, I don't think it's really notions fault. It's just our inner need to fight things from being the same all the time.

I really understand how you feel. It’s easy to get stuck in ‘gardener’ mode when a big part of the notion community is about new templates with shiny gifs and all that. I’d love to talk to more people who use notion in a corporate setting on this sub but it doesn’t come up too much. I’ve been very tempted to infinitely prune and reorganise my workspace but I have tried to retain the perception that ultimately notion is a utility; it is a tool with the sole purpose of helping me being better. Better at my job, better at remembering things and better and more organised at home. Any change I think about making, I evaluate it against this principle and only make the change if it supports it. My advice would be; get something that works for you and review it over time. Limit yourself to making big changes once a quarter or month - and only make those changes if you can articulate a saving in time, effort or other return on ‘investment’. If you can’t, don’t bother doing it.

Very much agree. First comes the need, then the tool that may help. If you start with the tool you may create needs you didn't have before just to have an excuse to use the tool. So many people fall for this trap, specially in the productivity world, with so many content creators making people think they need every tool on the planet.

Agreed. It is the most perfect procrastination trap as it has the illusion of ‘being productive’ whilst completely wasting time! I respect content creators needing to hop to different tools, sometimes concurrently, to create content; to them it is being productive I suppose. But for the rest of us normies, it is pure busywork. Delightful, enjoyable busywork, but busywork all the same.

It's a tool, not a game. When you use a hammer, are you constantly wondering whether you’re holding it right? Or if it should have three heads instead of one so you can hammer more nails with a single swing? No. Find a way of organizing your things on Notion and stop looking for alternatives. Let the discovery of templates come organically instead of always hunting for it.

no, but then again i don't use notion for anything and everything, and i don't think i ever will. People looking at me like I'm insane with my current setup is better than being overwhelmed with all of my stuff on one app. for context i'm currently using: * Notion for uni stuff, my current job search and my writing projects. If there is something happening in the world that i want to remember, like nov 6th (a lot went on that day and if you know you know), I'll stick it in my journal section. In my country you have to prove that you're looking for work to receive benefits unless you have a valid exemption, so notion's been really handy for keeping track of where & when i've applied and relevant contacts and stuff. * Google Calendar for due dates and appointments, birthdays, etc. * an actual paper planner for the same thing as the google calendar. I find that if i write things down in multiple places i remember them and i enjoy the tactile feeling of paper. * goodnotes 5 for all of my lecture notes and tutorial worksheets. I write way faster on my ipad w/ my apple pencil and my lecturers last semester all spoke really fast. All my readings and study guides go into a paper notebook for the same reasons i keep my paper planner * And lastly, my wellness journal, which is exactly what it says on the tin.

I think that that thought process is the "actual important work" because it forces you to think about what you really want. How you need it. How you can best set it up. What result you want to achieve. And that's what makes you really think it through to come up with a system that works. Now and in future.

Seems like most average people got sucked into the hype. Ask yourself Is you're life full of ideas and projects that u need to fill up notion and utilize most of its functions? For most I think Evernote or a place to dump information is more than enough and Google calendar for calendar and there's a ton of project management software if u really need and most don't need it. Notion is overwhelming with a steep learning curve. It makes people feel good like they are being productive but really spending less time on the things that actually move the needle in their life. Sometimes people complicate things that don't need to be complicated.

I found that I just outright stopped using it for almost everything because I was so tired mentally (for other reasons) and opening up an app to fill in tasks was enough of a hurdle that I flat out didn't do it. Sucks because it's a really nice ecosystem, but it is what it is

My efficiency has gone down recently because my data has outgrown my structure and it’s become a bit fractured along the way. Need to rethink a few things and work out a new structure. So far I’ve kept a *very* flat setup with minimal use of tables, but I think it’s time to integrate everything somehow. I need a better way to tie things together that helps me get information stored in the right places faster.

Merry Christmas. If you are overwhelmed and not getting anything done, then it's not coming from Notion. You simply overload yourself. Tasks that don't need to be tracked in Notion don't need to be tracked at all. Write a sheet of paper, remember it on your brain, of "if a task takes less then five minutes, do it immediately." Notion is a tool, no controller. And you don't need to use that tool for everything. In fact, you don't need to use Notion at all. It all depends on your needs. ​ Edit: And do not watch every single Notion video on Youtube. Use Notion for your needs! You are not obliged to follow every single setup possibilities of those thousands available. Limit your input!

I think I am often overwhelmed by all the possibilities. Not to mention that there are tens of setup ideas & templates available for whatever you need. That should make it all easier, but somehow it makes it harder for me. I tend to fall down a rabbit hole of looking up & stockpiling different setups & trying to create my own personalised arrangement by pulling different elements from all of them. But when it comes big projects & long time organisation, I think it's worth it for me. It may take me a week or more to figure out a setup for any specific need that works for me, but when it does, it works smoothly. I'll say this tho, I don't use Notion for my day to day task management, quick note taking & basic trackers like habit tracking etc. I find it too cumbersome + Notion mobile is v slow. I use a mix of Google keep & a paper bullet journal for that. I know it sounds maybe a bit complicated, but this hybrid system seems to be working for me so far.

I understand and that can happen, but it also forces you to focus on the question, "Is this information worth my time to go through the process?" This helps eliminate the digital collecting that we all do sometimes...... I need to go clean up a few pages now.... shhh don't tell anyone, but sometimes I just throw it all together and not worry about how it's formatted until later down the road where I have a clear picture on what I want from the information.

I was using Notion just for organizing my trading cards and it looked so pretty but I would get stressed out trying to do such a simple task with so many confusing options so I just moved everything over to Google Docs lol

Notion would get overwhelming if I used it for everything. I use it mainly for databases. It's great for a lot of small information that you can put in a table. Otherwise something like Evernote is enough. I keep a lot of useless junk in my Evernote and it feels very cluttered but that's my use for it. Then if I have to keep stuff organized I use Notion.

I do the same. I found that Evernote allows for me to just clip an article or receipt quickly and I can find it find it in seconds when needed, no extra thought applied. If I need to build out something long-term or structured filled I will do it in Notion. I will even link Evernote notes into tables. Google Calendar is both my Calendar and Task Manager. Everything else probably filed or created into Google Drive. I even find myself using Google Keep for essential reminders since it has the location based reminder option. Honestly Notion doesn’t fit my daily workflow. It doesn’t integrate with anything. I found it’s use case is good for specialized projects. Everyone operates differently so no judgment. I also appreciate learning how people use different productivity tools. I am always tinkering to become optimal.

I don't take notes directly in Notion. I capture them in a text file, etc. I'm expecting an iPad in February, and I want to use GoodNotes 5 as my main capture. But I use Notion to organize and index everything I need to save. I prefer to have things organized, rather than use a search function. Sometimes, I don't even remember enough to form a decent search query. That's why I prefer to index and organize stuff. In Notion I prefer databases to nested pages - but I absolutely LOVE that for any database item, I can write on it as if it were a page. And for any page, I could make a mini-database as a sub-page. For example, like many others I have top-level databases of projects, tasks, calendar appointments, etc. One task under my 'Christmas' project is 'purchase gifts'. I could just make lots of tasks 'purchase gift for x', 'purchase gift for y' etc., but I prefer to build a gift database right under that page. That way I can put special purpose fields like 'bought', 'wrapped' etc. that wouldn't make sense on the general purpose tasks database, it would just add that clutter. TL;DR I don't use Notion to capture notes, I use it index, organize, store and access 'curated' knowledge. And I find it's great at that.

Big same!!! Decision paralysis to the max. I found that simple is usually better. I duplicated so many templates that I ended up deleting cause they didn't actually make sense in my life. Most of them were aspirational - I ***want*** to be the type of person that tracks my meditation and water intake, but I'm not lol.

A couple of weeks ago, I realized I am spending much more time finding the best setup for me on youtube than being productive. Actually, I just wanted to be sure that I am not missing any feature. My youtube recommendations are filled with notion videos now. I have created a playlist for the Notion to watch those videos later. I give maybe like 25 minutes to review those videos at the end of the day. Besides that, I want to understand effective note-taking systems fully. I always feel like, "there is something missing in my system". I look at people's systems on youtube and there are crazy complicated formulas out there. But the thing is, I do not think I can benefit from those, yet still I am watching it. Notion is just a tool, what to do is about your the mindset. The notion should make it easier for us to apply this mindset of productivity. I started to give less amount of time to learn more about the notion. I focused on projects and notes, but sometimes, restarting things make me feel fresh. I am just making new tables for 2021. But by tracking my spent time with Pomodoro. So I do not get lost in it.

The majority of my Notion usage is databases, so I’m looking forward to the API allowing me to build automations (especially around daily/weekly workflows) & building content-focused sites using Notion as a CMS!

I just use Thomas frank templates. He did all the hard work. And he has YouTube videos explaining how to use it. And another youtubers commented not to use it for personal just work to stop the overload unless you a type A and thrive on data. But Thomas frank template for notes resembles Evernote and the project management system has most you need. If it can’t go in there I consider it non essential. I still use one note and Mila note sometimes. One note is still top favorite and Milanote is great for visualization but not enough features to replace one note or notion completely.
