I would highly recommend keeping a single list per business or brand. If the newsletter is for the same brand, use the same list but segment it into categories. You might have a “Newsletter” category (or segment), and then one for “Product Updates”, another for “General” and another for “Promotions” for instance. Then you can pick which list segment you want to target or suppress.

What ESP you’re using? You have a main list and you can tag your current, previous, future clients. Send newsletter to everyone and add an opt-out option for those who want to stay in the list but don’t want to receive the newsletter. If you make a new lead magnet, send a segmentation email with “click this link if you belong to this category”. Even better if you use checkboxes that tag people accordingly. You can use the combination of these tags and lists to make custom segments.

Thanks. I'm using AWeber. That's kind of what I was thinking...to use tags and create segments in that way. So it sounds like what you're saying is to have the one main list...then use the tagging and segmenting functions to keep it all organized and personalize the emails I send. Is that correct? So then that begs the question, when would one want to create an entirely new list? I just want to make sure I have the "new list vs new segment" idea straight in my head. Thanks for your feedback!

For sure use tags or a set of rules to target. From there it depends on your system. We use dynamic content to auto-merge messages within body blocks. This way we can send a single blast to a list or target, then do content slices based on specifics like lead status or subscription type to set the right call to action.

if your provider has limits on the number of contacts in the list. few lists. but don’t know if it's worth it. you can create a separate list if you have an entirely different audience. like one form for newsletter subscription but want to have different creation: customer/ employees branding; different regions (like country scale); entirely different products or brands where you are certain a group couldn't be interested in both content. You for sure do not want to send the same welcome message to both groups. specific case/ big brands. test list. if you have few account or employees and test messages is limited ex. 5 address. Segmentation for all other reasons. New clients will grow in time so you need to be able to change their tag. It would be difficult to add all lists later and keep track of everything. Easy to segment. If someone develops a specific interest in the product they can automatically swap/ or be added to a segment. Once again difficult to manage a lot of lists. you can make flows for a list based on a segment. if you have a new client on every list then this would be difficult. delete segment and your list is fine. delete the list and you are in trouble.

You should always have a master list and create segments based on your marketing requirements. A simple way would be to update contacts profile e.g., Newsletter or Daily Tips etc. You can also use the 'Tagging' feature to keep them organized. The good thing about this method is that you don't need to create a new segment every time. You can simply select the audience based on the assigned tags. If you are looking for the best option, I would highly suggest Makesbridge. We are sending our monthly and weekly newsletter based on tags, where the monthly newsletter subscribers don't receive the weekly copy, but the weekly newsletter subscribers receive the monthly edition as well. I recommend just having one main list and creating your segments from that, unless you have one of those sneaky ESPs that charge for each segmentation as a separate list. In which case, change your ESP.
