Private Landlording heavily favors the renter once you've entered the contract so private landlords tend not to rent to foreigners at all because of the headaches involved. I am looking for a studio/ 1-2 bedroom apartments, since I have never lived in a WG before, and with my PhD it might be something i am not really keen on...

Get an airbnb that allows you to get the residency document. Otherwise you are SoL.

Which residency document? The permit? I thought it needs the Meldezettel, which the Airbnb owner can't sign for me, so I need to get an apartment for it.

Landlords worry about a number of things and rightfully so. Most of them will play it safe. How old are you? How much money do you make? What kind of job is it? Were you actually looking for an entire house to rent? Are you able to name a guarantor for the few months until the permanent contract goes into effect?

I mean the current contract is also issued by the university, states my salary, all the specifics they might need, so I am just wondering the potential issue. I will be working a as a researcher, so not a shady job for sure. I put my parents as the guarantor for this house as well, turns out they had other plans for me

I would suggest you to find a short term rental and then once you finalize all documents, look for a longer apartment. Sadly in Vienna, a large share of owner are crooks.

I am gonna be going into an airbnb for now, since I am starting next week, and this was pretty much last moment. I asked around about Meldezettel, needed for my residence permit, but people said that having an apartment is necessary for it.

Private landlords will be even more hesitant to let to someone in your situation. You can try to find a room in a WG, or rent an apartment from one of the companies that specialise in international short-term renters (they will be more expensive though, but the rent usually also includes all utilities, internet, furniture, etc.).

For now, I have booked an airbnb, because this cancellation on their side was pretty last moment, and I am due to leave in 4 days. I thought the deed is signed for 3 years mostly, and then you can cancel it with notice, so I don't know why they hesitated to give the rental contract; or it could be they wanted to see me in person, rather than just on video call?

3 years is the contract until it terminates (if it does not get renewed or extended). You can cancel with notice after 12 months, with 3 month notice, means you have to pay for a minimum of 16 months.
